Ultralets may have started with just our MD, Spencer, but fast-forward 14 years and we’re Google’s highest-rated lettings team in East Yorkshire with a team of 30+ Specialists across 5 key departments.
Everyone plays a key part in looking after our customers and has dedicated responsibilities so we can provide an effective service and ensure our standards don’t slip.
In this blog post, we’ll talk you through our different departments and give you an insight into what they take care of and who your key contact is should you have any questions.
Finance
The backbone of the business is our finance department. They collect rent from tenants, manage arrears if required and pay landlords every month on the last working day.
They regularly use customer feedback to enhance their offering. For example, we currently provide monthly statements for landlords but found we were getting requests for extra annual statements too, so landlords could reduce their accountant bills when it comes to their self-assessments.
At first, we created annual statements for them manually then worked with our digital team to develop a feature so our software could automatically generate them.
We wanted to offer this as part of our standard service with no extra cost to the landlord so thanks to our finance and digital team, we were able to develop an efficient way for us to continue to provide supplementary annual statements when requested. Read more about our NEW annual statements.

Lettings
Our lettings department is a hub of activity. They carry out viewings, reference applications, sort out all compliance documentation, organise utilities, and carry out inspections, inventories, move-ins and move-outs.
This is the largest department in the company and the main point of contact for landlords, tenants and prospective tenants. They carry out all the work behind the scenes to make sure everything is done by the book and our landlords' properties have quality tenants in them.
Here are some of the team in one of their regular update meetings, taking full advantage of the communal workspace in our office.

Works
Unlike the majority of letting agents, we have our own in-house works department rather than outsourcing all of the work to subcontractors. Why? We can sort repairs and refurbs quicker, trust the work carried out will be to a high standard and keep costs down for our landlords without there being a middle-man.
We have 5 experienced skilled tradespeople out on the road carrying out works and 3 office-based team members to keep both landlords and tenants updated whilst organising quotes and schedules.

Digital
Our digital department takes care of making sure properties are marketed, on our website and third-party portals, promptly with a high standard of professional photography, strong descriptions and floor plans to maximise exposure and minimise void periods.
They also delve into our processes to see if there are any improvements we can make to our service to increase efficiency and provide a better user experience.
You won’t catch anyone at Ultralets saying ‘we do it like that because that’s how we’ve always done it’ - we’re always open to exploring new ways of operating and testing ideas out to see if they’ll benefit our team and customers. If they do, then we’ll roll that idea out.

Investment sales
We work with our landlords to ensure their portfolios are meeting their overall investment goals - whether that be taking up new opportunities, or assisting them with selling their assets.

When a landlord is looking to sell their portfolio (which can be for various reasons), instead of them listing it on the open market, we can list it on our portal and find a suitable, quality buyer to purchase it.
